1. Local-First Data Processing (Core Principle)

AceTheMeetAI is built on a local-first data processing architecture.

• Meeting and interview audio is captured and processed on your device (edge processing).
• Transcripts and related meeting intelligence artifacts are saved to your local file system.
• We do not upload, store, or retain meeting or interview audio on our servers. Zero audio retention on our infrastructure is a core product principle.
• Generated summaries, action items, performance reports, and other outputs remain under your control on your device unless you explicitly choose to export or share them.

This design significantly reduces the amount of sensitive data that ever leaves your device.

2. Information We Collect

We collect only the limited categories of information needed to operate and improve the Service:

A. Account Information

• Email address
• Authentication credentials
• Basic profile details required to create and manage your account

B. Billing & Subscription Information

• Payment-related identifiers and subscription/entitlement status
• Processed by our payment provider Dodo Payments (Merchant of Record)
• We do not store full payment card numbers on our servers

C. Usage & Product Data

• Entitlement flags (e.g., remaining Live Guidance minutes, active Pro subscription)
• Session timing and prepaid usage counters
• Limited technical diagnostics and error logs needed to operate, secure, and improve the Service

D. Communications

• Messages you send to support@acethemeetai.com or other contact channels

E. Website Data

• When you visit acethemeetai.com we may collect standard technical information such as IP address, browser type, device information, and pages visited (for security, performance, and basic analytics).

We do not collect the content of your meetings or interviews on our servers.

3. How We Use Information

We use the information we collect only for the following purposes:

• To provide, authenticate, and secure the Service
• To process purchases, subscriptions, and entitlement grants

• To monitor reliability, prevent abuse, and improve product quality

We do not use your meeting audio, transcripts, or AI outputs to train our (or third-party) AI models.

• Dodo Payments – payment processing and billing
• Authentication, hosting, and infrastructure providers
• Support and communication tools

These providers are contractually required to use the data only to perform services on our behalf.

We may also disclose information if required by law, legal process, or to protect the rights, safety, or property of AceTheMeetAI, our users, or others.

5. Data Retention

• Account and billing records are retained for as long as needed to provide the Service and to meet legal, tax, and accounting requirements.
• Meeting and interview audio is never retained on our servers.
• Locally stored transcripts, summaries, and files remain on your device until you delete them.
• Limited diagnostic and usage logs are retained only as long as reasonably necessary for security and product improvement.

6. Security

We implement administrative, technical, and organizational measures designed to protect the limited account and billing data we hold.

Because meeting audio and transcripts stay on your device, the primary security responsibility for that data rests with you (device encryption, access controls, etc.).

No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Rights and Choices

Depending on where you live, you may have rights under applicable data protection laws (including India’s Digital Personal Data Protection Act, 2023, and other regional laws). These may include the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your account data (subject to legal retention requirements)
• Withdraw consent where processing is based on consent
• Object to or restrict certain processing
